Your 5-minute walkthrough

A quick tour of your account and what each part does — the best place to start.

How your system works

A 2-minute read — how a patient goes from clicking your ad to sitting in your chair.
1

They take a 90-second check

Instead of a blank "contact us" box, patients answer a short set of questions — how they're feeling, whether they've been diagnosed, what they've already tried, their age, and a few safety questions.

2

Their answers sort them into one of four groups

  • A strong fit — sent straight to booking.
  • Needs your clinician's eye first — still invited to book, but flagged for your review before the consult.
  • Not ready yet — kept warm with low-pressure follow-up.
  • Not a fit — given honest resources, with no booking.
3

The rest runs on its own

Everything they tell you becomes plain information on their record — "diagnosed: yes," "tried two medications" — and where they came from is captured automatically. Then the right follow-up sends itself: a welcome with their result, a reminder before the consult, a check-in after, gentle nudges for anyone not ready, and a nudge if someone doesn't show.

Three ways in, one queue

Not everyone takes the quiz. Some fill in a quick patient enquiry form, and other clinicians can refer patients through the provider referral form. Both land in the same system as the quiz — each one sorted and labelled the same way — so your team works one queue, not three.

Straight talk

This sorts enquiries — it doesn't diagnose, and never pretends to. Anything borderline goes to you, never an automated yes-or-no. A clinician always makes the call.

On texts

Emails start immediately. Texts switch on once your clinic clears the carrier registration every US business needs for automated texting — usually one to three weeks.

What's yours

Your website, your Google Ads account, your domain, and your patient data — all yours, and you keep them if you ever leave.

A few fundamentals worth staying on top of
Results
Track your in-clinic results
Keep logging response and remission into the flowsheet — depression, OCD, anxiety and PTSD, and standard separate from accelerated. Your own outcome data is the most defensible proof you have, and it's what lets us answer competitor claims with real numbers rather than manufacturer studies. What gets published, and when, stays your call.
Video
Create short-form videos
Quick clips for Instagram, TikTok and YouTube Shorts — answer common patient questions and show the clinic. The cheapest way to build trust at scale.
Content
Send us the questions patients actually ask
Your front desk and consult calls hear the same questions every week — what it feels like, what happens if a first course didn't hold, how travel works for out-of-state patients. Those questions have produced the strongest pages on your site. Keep them coming and they become the content plan.
Testimonials
Film video testimonials from clients
A patient telling their own story is the most persuasive thing on your site. Ask after the last session — and if they travelled in for an accelerated or ONE-D course, that story is worth more than most, because nobody else can tell it.
Reviews
Get more reviews — Google, Yelp and Facebook
Ask every satisfied patient in clinic, and spread them across Google, Yelp and Facebook. Volume and recency both move your rankings.

Your point of contact is Leo at BuildForLeads. The quickest route is your dedicated Slack channel — tap Message your team above. For anything else, email [email protected].

In your Dashboard — it's in the menu on the left. This page is your home base; the Dashboard shows your live enquiries, consults booked, new patients and everything still in progress.

Live. Your Dashboard and reports refresh automatically as patients come in and move through your pipeline — there's nothing for you to update.

In the menu on the left. Open Contacts or Opportunities to see each lead and their full intake, and Conversations to message them directly.

Slack messages are usually answered the same working day. Anything urgent gets flagged straight to your contact.
